Missed calls at a dental office: what happens, and what to do about it

The phone rings while the front of the office is checking someone out, or at 7:40 before anyone is in. Here is where those calls go, and the honest options for catching more of them.

When calls go unanswered

Most missed calls at a dental office aren’t about staff ignoring the phone. They come at the busy moments: the morning rush, lunch, a patient at the counter paying, a hygienist running late, and the hours the office is closed but people are thinking about their teeth.

Look at your own phone records for one week: how many calls rang out, and at what times. That tells you more than any general advice, including ours.

What a missed call can mean

A new patient who reaches voicemail often calls the next office on the list. An existing patient who can’t reschedule leaves a gap in the day. And someone in pain at night needs to know what to do now, not tomorrow.

Not every missed call is lost: many people leave a message or call back. The ones to worry about are first-time callers and anyone with an urgent problem.

Option 1: a better voicemail

A clear voicemail costs nothing: say your hours, how to book online if you can, what to do in an emergency, and when you’ll call back. Then check it at set times and call back the same day.

Its limit: many callers, especially new ones, won’t leave a message.

Option 2: an answering service

A live answering service puts a person on the line. They take messages well; most can’t see your schedule, so they usually can’t book, and they’re working from a script about your office.

Option 3: an AI receptionist

An AI receptionist answers every call on the first ring, day or night, and can book into the calendar you connect. Ask any provider how it handles emergencies, what it does when it doesn’t know an answer, and who sees your patients’ calls.

Whatever you choose

Write down the rules first: what counts as urgent, who gets put through, what callers hear after hours. Those rules are what make any of these options work.

How Larkella helps

Larkella’s receptionist answers your office’s calls on the first ring, nights and weekends by the hours and rules you set, and books visits into Google Calendar or Microsoft 365.

It answers common questions from your own website and documents, and says when it doesn’t know. It never gives medical advice, puts urgent callers through to your team when your rules say so, and sends emergencies to 911.

You keep your number: forward the line, or only forward after hours.
